To approve the minutes of the Parish Council meeting held on 1st December 2008

4.      SUSPENSION OF THE MEETING FOR PUBLIC QUESTION TIME

The meeting will be suspended to allow members of the public to speak to the Council. No decisions can be made by the Council during public question time. After this period the meeting will be resumed.

6.      ITEMS FOR CONSIDERATION

6.1       To consider the resolution that “the Parish Council rescind the decision not to carry out a leaflet drop and to proceed with same, to all households, describing the importance of residents coming forward to fill existing vacancies on the Parish Council”

6.2       To consider and approve the wording of the draft leaflet for vacancies and to agree the associated costs  

6.3       To consider holding the annual Parish meeting on Friday 24th April

6.4       To adopt the Model Code of Conduct for Town & Parish Councils

6.5       To note receipt of the schedule of Parish Steward visits for Q1 2009 and to consider sending a representative to the scheme familiarisation day.

6.6       To consider sending a representative to the Wiltshire Council’s Development Control Service meeting

6.7       To consider and approve publishing the Neighbourhood Watch notice in Scene in Baydon and on the notice board

6.8       To consider and approve the access policy for the Parish field

6.9       To discuss, amend as necessary and approve the letter to Highways drafted by the Traffic Calming Working Group

6.10   To discuss the email from Sodexho regarding the shortfall in contracted cuts and to discuss the outstanding payment for grass cutting **

6.11   To agree the scope of the grass and hedge cutting contract for 2009 **

6.12   To receive an update from Cllr Prior on the playground project

7.      Correspondence for Action

7.1       Consultation on the proposed boundaries of the new Wiltshire Area Boards **

7.2       Letter regarding Wiltshire Involvement Network **

7.3       Initiation to Wiltshire Tree Warden Launch on 31 January 2009 **

9.      PLANNING

9.1       To consider a response to application K/59960/F, Baydon Hill Grange, for an extension to lads’ accommodation to provide dining area and additional bedroom **

10.  Finance

10.1   To endorse any payments made between meetings **

10.2   To make an in principal agreement to allocate unspent money from the 2008/09 budget to projects  such as a children’s playground

10.3   To approve payment of the clerk’s remuneration for 1st December 2008 to 11th January 2009 **

10.4   To consider whether  “under the Public bodies (Admission to Meetings) Act 1960, the public and press should be excluded for the following agenda item by reason of the confidential nature of the business and that they be instructed to withdraw”

10.5   To discuss & agree what recompense will be made for the additional hours worked by the clerk **
